Performs a variety of substantive student-related clerical tasks in support of the student records and registration. Tasks include, but are not limited to the following:
School administrative support functions, such as student registration, student attendance, academic records maintenance, tuition status, and other related processes. Enters, retrieves, and manipulates data in the student information management system. Responsible for new student registration. Assembles and distributes to families the student registration packets including a student schedule and hand book, regulations, a health record form, and other forms that might be required. Provides assistance to students and parents in completing the packet. Receives and reviews completed packets to assure all forms and data are complete; verifies enrollment eligibility; requests student records when necessary, establishes a student file. When review is completed, enrollment data is entered into the student information management database.
Receives data and enters into the student information management database to include new student enrollment, discipline and attendance data, school and student scheduling information, report cards and transcript information, and athletic eligibility for all students.
Enters grades, attendance, tuition, and transfer information to update students' data files. Maintains students' permanent hard-copy records and ensures the information is readily available to the proper school officials.
Works in coordination with the administration to construct in the student information management system a viable school master schedule for teachers, e.g., times for preparation periods, lunch times, classroom teaching, etc. Sets up directories for teachers and student classroom schedules. Enters course selections for new and returning students. Implements data collection techniques for collecting and electronically transferring student grades. Collects and transfers grades into the student information management system through the use of the electronic grade book software. Instructs and assists teachers on procedures and suspense time frames for submitting grades.
Prepares reports for school administration and other personnel from the student information management system database and disseminated to the correct personnel in a timely manner. This includes reports such as honor roll, grade analysis, list of students with specified grades, and discipline profiles. Submits school data extractions per district, area and headquarters school data extraction schedule.
Prints from the student information management system database and mails homebound information packets and maintains electronic and hardcopy files of all school reports, generates awards for attendance, honor roll, etc. Prepares a variety of letters, messages, memoranda, reports, charts, school bulletins, and other correspondence using typing and automated word processing equipment and other various software programs. 50%
Performs a variety of substantive personnel-related clerical tasks in support of the personnel management specialist assigned to the DSO. Tasks include, but are not limited to the following:
Prepares, maintains and submits Time and Attendance information for personnel assigned to the school. Explains processes and procedures to be followed in proposing and submitting a wide variety of personnel action requests. In cooperation with counterparts at the DSO and Personnel Center, provides information to callers and visitors on common personnel administration issues, such as forms to complete and time frames for changing health and life insurance.
Prepares a wide variety of personnel forms and documents requiring inquiry into individual cases and circumstances. Reviews forms and documents for substantive and procedural accuracy. Establishes and maintains logs, files and records for personnel¬ related correspondence, reports, and documents.
Maintains lists of substitutes for teachers and paraprofessionals. Receives absence requests for staff and assigns substitutes as necessary. The incumbent is available to train other office staff in these areas.
Translates administrative and mission connected correspondence from and into German to English. Acts as interpreter for non-English speaking visitors/callers in these languages for the principal and other school personnel.
In conjunction with the Administrative Officer and the School Administration, incumbent maintains a US Government Purchasing Card and is an "alternate" for purchasing.
Performs other duties as assigned.

Experience A: Included clerical work in an office or store, working with computers, bookkeeping, making and recording inventories, telephone marketing, arranging for events or as a cashier, etc.
Erfahrung A: Allgemeine Buerotaetigkeit z. B. Computeranwendung, Buchfuehrung, Inventuren, Telefon- oder Organisationsarbeit oder Kassierertaetigkeit.
Experience B: Experience in the same or similar line of work as the job for which considered. The experience must demonstrate that the applicant possesses the particular knowledge, skills and abilities required in the position. The predominant experience must have been gained at a comparable level of difficulty to the position to be filled.
